Privacy Policy
Last Updated: October 2026
1. Introduction
At Transcriptafy ("we," "our," or "us"), your privacy is our top priority. We built this platform to be a frictionless, utility-first application. This means we fundamentally believe in collecting the absolute minimum amount of data required to make the service work. This Privacy Policy outlines what information we collect, how it is used, and how it is protected when you visit and use our website and services.
By accessing or using Transcriptafy, you agree to this Privacy Policy. If you do not agree with our policies and practices, your choice is not to use our Website. This policy may change from time to time, and your continued use of the Website after we make changes is deemed to be acceptance of those changes.
2. Information We Collect
We do not require you to create an account, provide an email address, or submit personal identification information to use our core transcript extraction tools. The information we collect falls into two categories:
A. Information You Voluntarily Provide
When you fill out our contact form or email us directly for support, we collect the email address and name you provide, along with the contents of your message. This information is used strictly to respond to your inquiry and is never sold to third parties or used for marketing purposes without your explicit consent.
B. Information Collected Automatically
As you navigate through and interact with our Website, we may use automatic data collection technologies to collect certain information about your equipment, browsing actions, and patterns, including:
- Usage Details: Details of your visits to our Website, including traffic data, location data, logs, and other communication data and the resources that you access and use on the Website.
- Device Information: Information about your computer and internet connection, including your IP address, operating system, and browser type.
- Input Data: The YouTube URLs you submit to generate transcripts. These URLs are processed temporarily to fetch data from YouTube's public servers.
3. How We Use Cookies & Tracking Technologies
Cookies are small files placed on the hard drive of your computer. You may refuse to accept browser cookies by activating the appropriate setting on your browser. However, if you select this setting you may be unable to access certain parts of our Website.
We use cookies strictly for operational purposes, such as:
- Security: To protect the website against automated bots and DDOS attacks using Cloudflare.
- Preferences: To remember if you prefer timestamps toggled on or off during your session.
- Analytics: To understand aggregated, anonymized usage patterns so we can improve our server infrastructure.
4. Analytics and Third-Party Services
To keep Transcriptafy free and operational, we utilize select third-party services that may collect anonymized data.
Google Analytics
We use Google Analytics to understand how visitors engage with our website. Google Analytics uses cookies to track interactions. This data helps us know which pages are most popular and where our users are coming from. We have configured Google Analytics to anonymize IP addresses. You can opt-out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
Cloudflare
Our website is routed through Cloudflare to ensure fast loading times globally and to protect against malicious attacks. Cloudflare may place a cookie on your browser to identify trusted web traffic. Cloudflare does not store personally identifiable information.
YouTube API Services
To extract transcripts, our tool interfaces with YouTube. By using Transcriptafy, you are also bound by the Google Privacy Policy and YouTube Terms of Service. We do not access, collect, or store your personal YouTube account data. We only access public video data necessary to generate the requested text.
5. Advertising and Monetization
To support the ongoing server costs of running Transcriptafy, we may display advertisements provided by third-party networks, such as Google AdSense. These networks may use cookies and web beacons to collect non-personal information about your activities on this and other websites to provide you targeted advertising based upon your interests.
6. Data Retention and Storage
We do not store the text of the transcripts on our servers indefinitely. To improve performance, we may temporarily cache the resulting transcript of a highly requested public video in our global Edge KV store for a limited period (e.g., 24-48 hours). This prevents our system from repeatedly fetching the exact same data from YouTube.
This cached data contains zero personally identifiable information—it simply pairs a public YouTube Video ID with its corresponding public text track.
7. Data Security
We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. All information you provide to us is stored on secure servers behind firewalls. Data transmitted between your browser and our servers is encrypted via SSL/TLS.
Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Website.
8. Your Data Protection Rights (GDPR & CCPA)
Depending on your location, you may have specific rights regarding your personal data:
- The right to access: You have the right to request copies of your personal data.
- The right to rectification: You have the right to request that we correct any information you believe is inaccurate.
- The right to erasure: You have the right to request that we erase your personal data, under certain conditions.
- The right to restrict processing: You have the right to request that we restrict the processing of your personal data.
- The right to object to processing: You have the right to object to our processing of your personal data.
If you make a request, we have one month to respond to you. If you would like to exercise any of these rights, please contact us at privacy@transcriptafy.com.
9. Children's Privacy
Our Website is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are under 13, do not use or provide any information on this Website or on or through any of its features. If we learn we have collected or received personal information from a child under 13 without verification of parental consent, we will delete that information immediately.
10. Changes to Our Privacy Policy
It is our policy to post any changes we make to our privacy policy on this page. If we make material changes to how we treat our users' personal information, we will notify you through a notice on the Website home page. The date the privacy policy was last revised is identified at the top of the page. You are responsible for ensuring we have an up-to-date active and deliverable email address for you (if applicable), and for periodically visiting our Website and this privacy policy to check for any changes.
